This notice covers the ChartTrace public marketing website. It does not describe processing inside the separate authenticated application.
Information on this website
This website does not require an account, accept patient documents, or connect to a healthcare database. The site code does not set analytics or advertising cookies and does not include third-party advertising or analytics scripts.
Demo and access requests
If you use the email request form, your entries stay in the page until you choose to open a draft in your email application. The website does not submit or store those entries. Sending the email shares its contents with the recipient through your email provider. Use business contact information only; do not send patient information.
Information you choose to send may be used to respond to your inquiry and discuss product evaluation. You can ask about your inquiry or request deletion by replying to the contact handling your request.
Ask ChartTrace public assistant
Use public product and business questions only. Do not enter patient information or PHI. When AI answers are connected, your question and recent conversation text are sent through this website’s server to OpenAI to generate an answer. Obvious patient-information patterns are screened before forwarding, but automated screening cannot identify every sensitive detail.
The website does not keep a chat database or save conversations to browser storage. The current conversation clears when you leave or reload the page, or use Clear conversation. API response storage is disabled; provider processing and operational retention are subject to the provider’s policies. Chat contact links open your email or phone application without attaching the conversation. When AI is not connected, the panel says so and provides website navigation and human contacts.
Hosting and external services
Cloudflare provides website hosting and may process technical request information, such as IP addresses and browser information, to deliver and protect the site. Your email provider and any external scheduling service have their own privacy practices. The customer login leads to a separate application.
Healthcare information
Do not provide protected health information through this public website or sales contact options. Application data processing, applicable agreements and access requirements are addressed separately before use.
